Sales Vs Budget Summary Report

Purpose:

The Sales vs Budget Summary report shows a reduced overview of the Sales vs Budget data. If you are wanting to see the information in more detail, you can run the Sales Vs Budget Details report.

Parameters/Filters:


Pickup Location
This report can be run for All Locations or a specific location.
Region
This report can be run for All Regions or a specific region.
Category
This report can be run for All Categories or a specific category.
Report Date Range
The date range that will be applied to this report.
This date range will report on any bookings or part of a booking that falls within this date range.

Example:



The information returned in this report is grouped into 4 date ranges. They are as follows: Using the date range of 8/Jan/2021 to 15/Apr/2021 shown in the image above the four date ranges are described below. 
  1. MTD (Month To Date) - Only the date range you define; 8/Jan/2021 to 15/Apr/2021.
  2. LYMTD (Last Year Month To Date) - The date range you define however it is from the previous year; 8/Jan/2020 to 15/Apr/2020
  3. YTD (Year To Date) - Beginning of the year to the end of the defined date range; 1/Jan/2021 to 15/Apr/2021
  4. LYTD (Last Year To Date) - The date range defined but from the previous year; 1/Jan/2020 to 15/Apr/2020
Each of the fields returned is described below

Vehicles on Fleet
The number of vehicles that are On Fleet during the reporting period. 
This is determined using the Date On and Date Off Fleet information for each vehicle.
Vehicles on Hire
The number of vehicles which were out on hire during the reporting period.
If a vehicle has more than one booking during the report period, it is only counted once here.
Vehicles on Hire %
The percentage of available vehicles that were out on hire during the report period.
Hired MTD
The total revenue amount for bookings in the MTD period.
Hired LMTD
The total revenue amount for bookings in the MTD period from the previous year.
Hired YTD
The total revenue amount for bookings that fall in the period from the beginning of the year to the end of the report period.
Hired LYTD
The total revenue amount for bookings that fall in the period from the beginning of the year to the end of the report period, for the previous year.
Budget MTD
The budget amount for the MTD period.
Budget YTD
The budget amount for the period from the beginning of the year to the end of the report period.
Forward Bookings
The total revenue value of any bookings where the pickup date is after the date the report is being run on. 
LY Forward Bookings
The total revenue value of any bookings where the pickup date is after the previous years date the report is being run on and the date the booking was created is before the previous years date the report is being run on.
For example, if you run this report on 14/Apr/2021, then the value used for the previous years calculations would be 14/Apr/2020.

Points to Note:

  1. Vehicles will be included in the Vehicles on Fleet calculation if the report date range entered falls within the Date On Fleet and Date Off Fleet for the vehicle.
  2. If a vehicle has any booking that falls within the Contract Date range, it will be included in the Vehicles on Hire calculation. If there is more that one hire in the contract date range, the vehicle is only counted once.
  3. Bookings will be included in this report if any part of the booking falls within the reporting period. However, only the number of days of the booking that fall within this period will be included in the revenue calculation.
  4. This report calculates the revenue for a booking as the average rate x number of days in the report period. Therefore, if a booking is updated and the average rate changes, the revenue on this report will also change. If you have run this report previous to the update, you will have different values.
  5. The report does not include Non Revenues and Maintenance bookings
