Different Brands within one RCM System

Different Brands within one RCM System

Overview

RCM allows you to run multiple brands from within the one RCM system.
Branding allows you to have different logos and brand names for customer documents such as quotations, confirmations, and rental agreements.
Following is a Knowledge Base article which explains whether you will be able to use branding within one RCM system or whether you will require a separate RCM system:   Q: What do you need to set up multiple companies on one database?
Following is a Knowledge Base article which talks about branding, separate business entities, and franchises within RCM: Q: We have a couple of trading entities and brands - I assume some form of head agreement could be constructed to cover this and any future entities in the same group?

How to setup branding within RCM

If you wish to setup branding within your system you will need to get in touch with RCM Support (support@rentalcarmanager.com). They will talk you through the process and explain what will need to be done to get branding working properly within your system.

Documents within RCM

There are two parts to the documents that are produced within RCM and branding.
The first part of the setup is what company information and logo will appear on the documents. This is determined in the following manner:
  1. If there is a brand saved against a booking, the documents will be printed with the company information and logo that has been setup within RCM for that brand.
  2. If there is no brand saved against the booking, then the documents will print with the company information and logo that has been setup against the default company within RCM. If you have more than one company within RCM and you are unsure which one is the default one, simply ask RCM Support (support@rentalcarmanager.com).
The second part of the documents process in relation to branding is determining what templates will be used when producing the documents.
Within RCM you can either choose to document by Location or document by Brand. This means that you can either setup templates based upon the Location or the Brand associated with the booking. If you don’t have either of this type of templates setup, then RCM will use the standard template.

If you look at the two images below you can easily see if you have document by location, or document by brand set.
Below is the screen you will see when you click Manage System Emails from the System Setup menu and choose to view the confirmation email.
If you are seeing one option and you want to use the other one, simply get in touch with RCM Support and they can change this for you.

Following is the Knowledge Base article which explains how to edit email templates within RCM,  Editing RCM Email Templates.

Vehicles and Branding

By default all of the vehicle categories that have been setup within your RCM system will be available for all brands for the operators.
If you would like to specify which categories belong to which brands, e.g. restrict the vehicles that are available to the brands within your system, you will need to contact RCM Support (support@rentalcarmanager.com).

Web Booking module and Branding

If you have branding turned on within RCM, you will need to have a separate set of web booking steps for each brand. If you are wanting to do this, contact RCM Support (support@rentalcarmanager.com).

Vehicle Availability

If you have branding turned on, each copy of the web booking module will have a brand associated with it.
You will need to setup the Vehicle Availability on your website for each brand. The web booking module will only use the records that have the relevant brand against them. Records without a brand against them will be ignored.
Following is a link to the Knowledge Base article that explains the Web Category Availability screen in more detail, Web Category Availability.

Extra Fees

RCM also allows you to associate a brand with a Web Extra Fee. If you do this, then the extra fee will only be available on websites using the web booking module for that brand.
Unlike the web category availability records, the web booking module will still show extra fees that do not have a brand against them. It shows both the extra fees with no brand and those with the relevant brand against them.
Following is a link to the Knowledge Base article that explains the Web Extra Fees screen in more detail, Web Extra Fees.

Online Confirmation Email Templates

The responsive web booking module allows you to setup specific confirmation templates for each of the 3 types of booking requests:
  1. Quote
  2. On-Request
  3. Free-Sale Booking
If you have branding setup, you are also able to create brand specific templates for each of these three types of online booking requests.
The following image shows where you can access these templates under the Manage system Emails option on the System Setup menu.

Reports within RCM

Quite a large number of the reports available within RCM can be run as Brand specific.
