Send SMS Reminders

Purpose

The Send SMS Reminders page allows you to send SMS reminders for pickups and drop offs. By default, it displays the next day’s activity allowing you to easily send SMS reminders a day before the pickups and drop offs. The format and content of the SMS sent is controlled by the SMS Template Setup in the System Setup menu.

Parameters

The report can be run for either the Pickup List or the Drop Off List for the date range entered.

Location
Can be run for All Locations or a selected location
Category
Can be run for all vehicle categories or a selected vehicle category
Include
Can be run for All Activity or Current Activity
  1. Current Activity for Pickup List will only show reservations with a status of Reservation.
  2. All Activity for Pickup List will show reservations with a status of both Reservation and Hired.
  3. Current Activity for Drop Off list will only show reservations with a status of Hired.
  4. All Activity for the Drop Off list will show reservations with a status of both Hired and Returned.
Pickup/Drop Off List

Choose to run this for either the Pickup List or the Drop off list for the date range entered.
The Pickup List option will only show bookings where the pickup date falls in the date range.
The Drop off List option will only show bookings where the drop off date falls in the date range.

Date Range
Set the date range you wish the report to run for,
Exclude Bookings SMS was sent already
You can choose to exclude any bookings from this report where an SMS message has already been sent.

Example

The report will bring back reservations where either the pickup or the drop off date falls in the date range depending on whether Pickup List or Drop Off List has been chosen.
It is important to note that reservations will only be returned by this report if there is a mobile number saved against the reservation.



Res #
The reservation number of the booking
Status
The current status of the Reservation, it will be one of either Reservation, Hired or Returned
Pickup
The Pickup Location, Date and Time. 
Drop Off
The Drop Off Location, Date and Time
No of Days
The total number of days of the reservation.
Category
The vehicle Category against the Reservation
Rego #
The Registration Number of the vehicle against the reservation.
Customer
The name of the customer against the Reservation
Mobile No
The mobile number that is against the Reservation.
Send SMS
A tick box which allows you to designate the Reservation/s you wish to send the SMS Reminders for.

To send the SMS, Click (tick) the ‘Send SMS’ checkbox to select the booking/s to which the SMS will be sent, then click on the ‘Create SMS Pickup Reminders’ button.
You will then see the screen shown below.  

The message text that displays for Pickup and Dropoffs is retrieved from the SMS templates page (You can find a link to the Knowledge Base article for this in the Relevant Links section below).
You can edit the Phone number and Message as required.
Click on Send to send the SMS(s).

Points To Note

  1. When sending SMS, the system defaults to the mobile phone number entered in the mobile phone field of the reservation record. The mobile number can also be overridden and entered manually if required. If a mobile phone number has not been entered on a reservation, the reservation will not appear in the report list.   
  2. If the mobile phone number has either a leading + or 0, then the SMS will not be sent. The mobile phone needs to have the country code and then the phone number, as an example for the mobile phone 0400000000 in Australia, it will need to be entered as 61400000000. 
  3. If you change the mobile phone number on the screen when sending the SMS message, the reservation will NOT be updated with the new mobile number.
  4. Using this feature will require registration and pre-paid credits to be purchased – How to do this is explained as part of the SMS Text Message setup. You can find a link to the Knowledge Base article for this in the Relevant Links section below.
