Fleet Manager Overview

Purpose

Within RCM, you are able to manage the maintenance requirements of your fleet. 

Different types (categories) of vehicles in your fleet may have different servicing requirements; for example, a scooter, a standard car and a commercial vehicle would all have different servicing requirements. RCM's Fleet Manager module allows you assign a 'Schedule Category' (that contains the services and intervals required) to your vehicles to manage the different requirements and give you alerts when services are due. Fleet Manager allows you to setup for both Manual servicing (adhoc) and Periodic Maintenance (scheduled services) for the vehicles in your fleet. The completion and recording of these services can be performed from the Fleet Manager Report.

Manual Servicing:

Manual Servicing involves simply recording the services in the system after they have occurred so that each vehicle has a full history of costs stored against it. 

Periodic Maintenance:

Periodic Maintenance schedules can be setup and assigned to the various categories of vehicles in your fleet. Once setup and running, the system will alert you when a vehicle is due/overdue for a service via the dashboard and through various Service Reports. You are also able to record any costs against the services as they are performed. 

A vehicle can have multiple services of different types scheduled based on mileage and timeframe. For example, a vehicle may require a standard service every 10,000 kms and a Tyre Rotation every 6 months.  

There are various methods that can be utilised to ensure a vehicle due for service does not go out on hire. This can be performed via the system parameters by setting a flag to "Stop hire if Service Due By Units".
Alternatively, you can create a maintenance booking for the period that the service is scheduled.  This will ensure customer bookings cannot be made over the maintenance booking period. 

Fleet Manager Report

This report is the central place in RCM to manage the servicing of your fleet. It can be accessed by going to Vehicle Maintenance >> Fleet Manager.

This report can be filtered to show all vehicles of a selected vehicle category at each location, or you can search for specific vehicles by their Registration or Fleet numbers. 


Within this report, you can see the Category, Make, Model, Fleet Number, Registration Number and Current Milage of each vehicle. You will also have a number of buttons with which you can view, add and update services. 

The Last PM and New PM buttons will only appear against vehicles that have a PM Service Category assigned to them. They both open the following page where you can see a list of all PM services scheduled for the vehicle. This will include the Service type, the date and units at which this service was last performed, as well as it's due date and units. Any service that is Over Due will be ladled as such. There will also be a New Service button that allows you to record a PM service that is performed. The Edit PM button will open the following window where you can view the information of all the PM services that have been performed against this vehicle. There will also be buttons that allow you to View, Edit and Delete these services.


The Add Manual service button will open the following page where you can select the service type and then record any necessary information. For more information, please see the Manual Services - Adding and Viewing article. 

The List Services button will open up the following window. This is a list of the information for all PM and Manual services that have been performed against the vehicle. There will be separate entries to list the Service Item information that are recorded against each service.
