Service Reports

Purpose

The Service Reports offer comprehensive reporting across all PM and Manual services and include historical and future servicing requirements.  The reports include:

  1. Service Report -  Provides a list of PM and/or Manual services that have been carried out
  2. Periodic Maintenance Due by Date - Provides a list of scheduled PM services  due based on the set interval.  It calculates the due date based on the last date the service was performed plus the interval set for the service - for example the due date for a service due annually  would be based on the last service date + 365 days. 
  3. Periodic Maintenance Due by Units -  Provides a list of scheduled PM services  due based on the set units(mileage).  It calculates the due date based on the mileage when the last service was performed plus the number of units set for the service - for example the units were set to 10,000  the next service due would be based on the last service mileage + 10000.
  4. Service by Items - Provides a list of services where a particular item was used.  For example you may wish to see all services for a date range where a new air filter was fitted.

Service Report

The service report provides a list of PM and/or Manual services that have been performed based on the parameters selected.  



Parameters 
Location
Can be run for 'All' or a specific location
PM and/or Manual 
Choose either or both
Service Type
Choose  'All 'or a specific type
Service Date Range
Can be a maximum of 6 months
Service Status 
All status's or just open or closed 
Vendor
Choose 'All' or a specific Vendor 
PO Number
Enter a PO number 
Rego or Fleet Number
Enter a specific Rego or Fleet number if you only wish to view for one particular vehicle
Order by 
You can choose how you want the report ordered


Report Fields 


The report contains all the information  that was entered for the service.  Any fields where information was not entered will appear bank or with $0.00 dollar amounts. 

 You also have the option to View, Edit or Delete each entry in the  report


View will display a summary view of the service
Edit will open the service for editing - note that the Edit button will only display for services that are open ( have not been marked as closed)
Delete is only available to Head Office users. Once a service is deleted it is removed entirely from the system and cannot be recovered.

Periodic Maintenance Due by Date

The PM by Due Date report will list all scheduled services due in the time period selected. 

Parameters



Select vehicles Location/Region
Select whether you are search by the vehicles current or owning location/region.
Then you can set whether you are search by location or region, with the option to set both to All Locations/Regions
Next Due Date
Choose the date period where the services will become due.
Vehicle Category
You can select a specific Vehicle Category or Category Type to search by
If you select both, the report will only consider the Vehicle Category.


Report Fields


The report displays all the information pertaining to the Service.

Points to Note
The 'Next Due Date'  is determined by the 'Last Performed Date'  + the 'Pm Interval Days'
The  'Last Dropoff' column displays the last returned location and date before the service due date


Periodic Maintenance Due by Units

The PM Due by Units report includes all  scheduled services due based on units ( mileage)at a location 

Parameters 



Select vehicles Location/RegionSelect whether you are search by the vehicles current or owning location/region.
Then you can set whether you are search by location or region, with the option to set both to All Locations/Regions
Vehicles 
Select whether you are searching for 
  1. All vehicles
  2. Vehicle In Branch
  3. Vehicle On Road
Include Maintenance Bookings
You can choose whether to include vehicles that have already had a maintenance booking created. 
Vehicle Category
You can select a specific Vehicle Category or Category Type to search by.
If you select both, the report will only consider the Vehicle Category.



Report Fields


The report displays all the information pertaining to the Service.

Points to Note
The 'Next Due Units '  is determined by the 'Last Performed Units'  + the 'Pm Interval Units'
The  'Due in'  column displays the number of units ( klm/miles) until the service is due
The "Update" button allows you to update the selected vehicle's service status

Service by Items 

The Service by Items report  provides a list of services where a particular item was used

Parameters



Location
Can be 'All' or a specific Location
Item
The Service Item to include in the report - note that the report cannot be run for 'All Items'
Service Date
Cannot be run over a period longer than 6 months
Service Status 
'All' service status's or just Open or Closed services


Report Fields 


The report shows all the information pertaining to the service that included the selected item.
