Credit Cards within RCM

Rental Car Manager allows you to securely store your customers’ credit card(s) against a booking.

To ensure that this meets the Payment Card Industry (PCI) compliance requirements set out by Visa, MasterCard and other card providers a tokenized credit card vault is used. This ensures all card data is stored securely as electronic tokens while the real card data remains remote and secure with our Level 1 PCI compliant service provider. As a merchant this enables you to very cost effectively meet your own PCI compliance requirements set out by your bank or merchant provider.

There are several areas to credit cards within RCM.

Security

By default every operator will have access to add credit cards to the vault. However, to be able to view the credit card information there are extra checks in place.
To be able to view the credit card information, the operator will either need to be logged in using an authorised IP address, or they will need to be a TFA user.

Customers Entering their Card Details 

There are several ways that a customer can save their credit card information against their booking themselves rather than ringing the Rental Car Company and having the operator save the details within RCM.

They are:
  1. Making a booking request online
  2. Converting a quote to a booking
  3. Responding to a pre-check in email
  4. Responding to an email requesting their card details.


Making a booking request online

When a customer makes a booking request via the Web Booking module, they will be prompted to save their credit card information.


Converting a quote to a booking

A customer is able to convert their quote to a booking by clicking on a link contained within their Quote Confirmation email.
While converting their quote to a booking they will have to enter personal information.
Whether they will be required to enter a credit card or not at this stage is determined by a system flag within RCM
You will need to contact RCM Support to get this flag changed (support@rentalcarmanager.com).

Responding to a pre-check in email

It is possible to send a Pre-Check in to customers from within RCM. This allows the customer to enter extra information, it is possible at this stage to also enter a credit card.

Responding to an email requesting their card details

It is possible to send an email to customers from within RCM to request their credit card details.

The email that is sent out has a link that takes them to a page where they can enter their credit card details into the vault.

Ensuring Card Details are Current when Booking is Hired out

Within RCM there is a credit card retention period that is set. This screen can be found by going to the System Setup menu and choosing the System Parameters option. From there click on the Card Retention Month tab, please see the image below. You are able to change this value by clicking on the period.




When a card is saved to the vault, the retention period is added to the current date and this is what is saved against this card as the removal date for the card details. This means after this date you will not have access to this information in the vault .

Each time you view a card within the vault, the removal date is updated. The retention period is added to the date you viewed the card details and this becomes the new removal date. So, if you have a card you want to keep for longer, simply view the card within the vault.

Within RCM there is a report you can run which will highlight any bookings in the future where the credit card details may not be available as they may have past their removal date.

Credit card surcharges against bookings.


RCM allows you to apply credit card surcharges to bookings.
It will only apply the surcharge to the payments that have been made using one of the credit card types that have been setup to have the credit card surcharge applied to it.
