Storing a Credit Card securely in RCM and ensuring you are PCI compliant.

Overview


Rental Car Manager allows you to securely store your customers credit card(s) against a booking.

To ensure that this meets the Payment Card Industry (PCI) compliance requirements set out by Visa, Mastercard and other card providers, a tokenized credit card vault is used.  This ensures all card data is stored securely as electronic tokens while the real card data remains remote and secure with our Level 1 PCI compliant service provider. As a merchant this enables you to very cost effectively meet your own PCI compliance requirements set out by your bank or merchant provider.  

Notes on Credit Card Storage.
  1. Storing credit cards in Rental Car Manager is OPTIONAL and must be requested when setting up your account.  
  2. Multiple cards may be stored against a single booking.
  3. Credit cards are held for a maximum of 3 months and will then be automatically removed from the vault.  If you require credit cards to be held for longer periods, please email sales@rentalcarmanager.com to discuss this requirement.
  4. If you enter credit card data in any other fields that are not secured for credit card entry your data may be automatically masked when the record is saved. 
  5. Note that viewing of the card details requires the correct permissions on the users records and also authentication against your place of business.   If you are using Two Factor Authentication, then you may view card details from any location or device.
IMPORTANT NOTE ON BROWSER COMPATIBILITY:
It is important that you use the LATEST version of your preferred BROWSER.  Additionally older versions of the MS Windows operating system will not be compatible with the vault functionality.  This in particular applies to Microsoft Windows XP which is no longer supported by Microsoft.

This article outlines the process of entering a credit card against a booking in Rental Car Manager.  
 
1.   All credit cards are entered from the Booking Payments page. Please see the screen shot below. To access this screen either add or update an existing booking and click on the Bookings Payments page.


2. Click on the credit card icon and the following credit card summary page will be displayed. Click on 'Add Card' to open the entry page for the credit card vault. Please see the screen shot below. 













3. Enter the Credit Card details and click on "Submit." 


4. The stored card details are then displayed in the credit card summary page. Note that you are able to store multiple cards against one booking. Please see the screen shot below.

You are able to view the full Credit Card number by clicking on the Vaulted Card number (active link) highlighted below. Note that some users will not have access to this active link. 




Entering a Valid Credit Card 

 The vault will verify the number entered based on your Credit card selection (using the Luhn algorithm).

When a valid number is entered, an icon representing the Credit Card Type will automatically appear. 


If you enter a number that is not valid for the card type, you will get the message below.
