New Method of Applying a Surcharge to the Payment made using a Credit Card

Purpose

Within RCM you are able to apply a Merchant Fee to specific payments.

When a payment is made using a Tender Type that has a Merchant Fee assigned, the applicable  surcharge percentage will be automatically applied to that payment amount only. 

For example, you may add a 2% surcharge to any payment made using the 'Visa' tender type.   If a customer pays a portion of the charge on Visa, and a portion in cash, the surcharge will only apply to  the payment made with Visa card.  

There are 2 steps required when setting up this functionality 
  1. A "Credit Card Surcharge" extra fee record  must be  created.
  2. The Tender Types need to be configured to apply the surcharge. 


The Process to Apply a Credit Card Surcharge

Access   System Setup > Extra Fees > click the "Add Extra Fees" button

Then you will need to create an Extra Fee with the following settings:
  1. The Extra Fee name should be a clear description of the fee - eg: "Credit Card Surcharge 2%"
  2. The type should be "Percentage"
  3. The  "Percentage Fee on Total" flag must be set to "Yes"
Note that in previous versions there was a "Merchant Service Fee"  flag that needed to be selected.  This flag has been removed and is no longer relevant. 



Once the Extra Fee has been created and saved, you need to configure the Tender Types. 

Access  System Setup > Tender Type 



Select the Tender Type you want to update (to include the Merchant Fee)

Set the  "Apply Merchant Fee"  to Yes.
Select  the Extra Fee to be applied from the "Merchant Extra Fee" list  in this example  "Credit Card Surcharge (2%)"  is selected. 
Click "Submit" to save changes.




Adding the Payment  

On the  "Booking Payments" tab, Click on "Add Payment"


Note on the below screen that there is currently no Merchant  Fee line in the Rates and Fees section - you no longer have to physically add the merchant fee as an extra fee on the Booking Fees tab - it will be added automatically when you make the payment . 

Select the "Type" -  the associated Extra Fee will appear in the  "Merchant Fee" box  automatically 

In this example we are paying for the entire booking amount - $240  on the Amex Credit Card .




When you "Save Payment", you will notice that the Merchant Fee of $4.60 has been added to the paid amount and the Merchant Fee line has been added to the Rate and Fee section. 



The DPS payment screen, now also allows you to choose a Merchant Fee before taking payment and updating the payment amount.
