Turn-around Hours

Purpose


Within RCM you have the capability of enforcing a minimum period of time that must be kept between one booking being Returned and another being Hired (referred to here as turn-around hours) for vehicles.

Whenever a check is made as to the availability of the vehicle, the turn-around hours will also be checked. This will occur whenever a booking is created or you are updating an allocated booking. It will also occur when allocating a vehicle to a booking.

This functionality is something you can choose to turn on or off via System Parameters.

To turn this functionality on, you need to update the System Parameter: “Validate Vehicle Turn Around Hours” so that is it set to “Yes” as below.
You will also need to ensure that you have the necessary records setup for turn around times that you wish to enforce.

System Parameters > Booking Validation Parameters


There are 4 other parameters in relation to the turnaround hours:
  1. Include Public Holidays to Vehicle Turnaround Hours Calculations - see the Excluding Days from Turn Around Period article for more information on the parameter
  2. Include Office Hours for Vehicle Turnaround Hours Calculation when Turnaround Hours are at or under this value - see Including Office Hours in Turnaround Hours Calculation article for more information on the parameter  
  3. Override the Turnaround Hours for Bookings with a Pickup Date of Today.  Set to Yes if you want to be able to ignore the turnaround hours on the current day. 
  4. Override Turnaround Hours when update bookings in RCM.  Set to Yes to allow override of the turn around hours in RCM 


Accessing the Turnaround Hours

You can view and edit turnaround time records from the Turnaround Hours page - this can be accessed 2 ways:
Access Web Site Interface > Web Site Locations > Turnaround Hours tab 
Or 
Access Vehicle Maintenance > Vehicle Categories > Turnaround Hours tab



Click on the Turnaround Hours tab




You are able to set up turn around hours based on the following information:
  1. Pickup and Drop Off Locations
  2. Category Type 
  3. Vehicle Category

Adding/Updating Turnaround Hours 

To add an entry, click on the Green 'Add Turnaround Hours ' button
To Update and entry click on the Red Pickup Location link

Note that you can only update the "Turnaround Hours" field when updating any of your existing turnaround hours records. If you wish to update any of the other fields, you will need to delete the existing record and create a new one. Make sure you click "Submit" to save your changes:
