Excluding Days from Turn Around Period

Overview

Within RCM you have the capability of enforcing a minimum period of time that must be kept between one booking being Returned and another being Hired (referred to here as turn-around hours) for vehicles. Whenever a check is made as to the availability of the vehicle, the turn-around hours will also be checked. This will occur whenever a booking is created or you are updating an allocated booking. It will also occur when allocating a vehicle to a booking.
It is possible to exclude certain days of the week from being included in the turn-around period. One reason for doing this is in the case of campervans where it may take 1 day to clean the vehicle and get it ready for the next booking, if you do not have cleaning staff working on certain days of the week, you will want to remove that day from the turn around period.
For example, say you have a campervan set up to have a 24 hour turn-around period, but you don't have cleaning staff working on a Sunday. If a campervan gets dropped back on a Saturday, you will not want it to be available 24 hours later, as this would allow for a full 24 hours where there were cleaning staff available. So instead of being available on Sunday, it would be available on Monday.

Setting up Days Staff Not Available

Flagging a day as not having cleaning staff available is a simple task and can be done on the Location Hours screen.

System Setup >> Locations >> Location Hours





Under the Location Hours screen, you are able to set up the hours for each location and day of the week. See the following article for more information about this, Location Hours.
If the Location and the Day of the Week combination does not exist, simply click on the "Add Location Hour" link to create a new record. Otherwise click on the Day of the week you are wishing to update, see below.



On the Location Hours screen, you can choose to flag the day as "Turnaround Staff Available" as No, see below.

Include/Exclude Do Not Rent Days

You may also want to exclude any Do Not Rent days you have set up as not being available to be included in the turnaround period either, for example on all public holidays.
There is a system parameter which controls whether Do Not Rent days are included in the turnaround period or not.



If the System Parameter shown below is set to Yes, then any Do Not Rent days will be included when calculating the turnaround period.



There are two types of Do Not Rent days:
  1. Weekday = All Days - this means that any day within the date range entered will be marked as a Do Not Rent day. This is normally used to mark Public holidays.
    These will be included as part of the turnaround calculation.
  2. Weekday = Specific Day of the week- this means that only the days matching the day of the week within the date range will be marked as a Do Not Rent day. This is normally used to mark a location as closed on a particular day of the week.
    These will NOT be included as part of the turnaround calculation.
