Purpose
The States/Provinces screen is where states and provinces for your country of operation are maintained.
A state may have a local tax associated with it. The tax name and rate are also defined under the States/Provinces screen. Each state/province record may have a different local tax description and rate.
Note: If you are operating in a country without any state or province, then there should just be one entry labeled N/A under this menu.
Accessing States/Provinces
System Setup > States/Provinces
Adding and Viewing a record
On the State/Provinces screen, a list of previously added records will be displayed. To view an existing record, click on the state code name in red text. To add a new country, Click "Add States/Provinces".
On the new provinces/states screen enter in the following fields:
- Select a country from the drop down list (Mandatory)
- State Name (Mandatory)
- State Code (Mandatory)
- State Tax Name (Optional)
- State Tax Rate Rate. If you entered a state tax name, you should enter a state tax rate as well (Optional)
Click "Submit" to save changes.
After clicking "Submit", you will be taken back to the main States/Provinces screen, where you will see the newly added record.
Country | The country that the state belongs to. |
State Code | The unique code for the state. This appears on a list when adding or maintaining location records. The state code also gets printed on the Rental Agreement. |
State Name | The name of the state. |
State Tax Name | The assigned name for the state tax. |
State Tax Rate | The tax rate for the state, entered as a percentage. Used for calculating the state tax value for the rental vehicle. |
Change Tax Rate | By clicking on the green tick, you will be able to change the following:
- Change the State Sales Tax Name
- Change the current Tax Rate
- Change the date when this tax rate will apply.
