Rate Structure

Purpose

Rate structures specify the varying lengths of time of hire for your vehicles and are tied directly to your rates.  
For example, you may have a high rate for a 1 day hire and reduced rates for longer hires.  

These rate  structures need to be setup before defining actual vehicle rates. However, before defining your rate structures, you should already have an idea about the rates you will charge on a daily basis.

Rate structures are normally defined for the number of days a vehicle may be rented. If you also charge hourly rates aside from daily rates for your hires, you need to define hourly rate structures as well. Hourly rate structures are defined under the Hourly Structure tab of the Rate Structure program (see the Hourly Rate Structure article).

Accessing the Rate Structure Tab

The Rate Structure tab can be found under the System Setup menu.
System Setup > Rate Structure
Note that if you do not see the 'Rate Structure' icon, you can also access the tab via - System Setup>Seasons> Rate Structure tab


Adding and Viewing Rate Structure Records

On the Rate Structure page, a list of your current records will be displayed. To view an existing record, click on the rate description in red text. To add a new rate structure record, click "Add Rate Structure".


On the new Rate Structure page, enter the Rate Description, then enter a number on the From Day and To Day boxes.
The numbers that you enter on the From and To Day boxes are the effective days for the new rate structure. For example, if you want to define a rate for Days 1 to 6 of the rental, enter 1 on the From Day box and 6 on the To Day box. This means bookings between 1-6 days will pick up this rate structure when you have rates set to it. It is important that all days are covered but are not overlapping so the booking picks up the right rate structure and rate. Click Submit to save the new record. On the main Rate Structure page, you'll see the record added to the list of rate structures. 


Note: For open-ended rate structures, a zero must be entered on the To Day box e.g. for a rate structure that will be in effect from day 15 onward, the value in the From Day box must be set to 15 and the value in the To Day box must be set to 0. This will then displayed as "or more".
