Payment Subscriptions



Purpose

Payment Subscriptions allow you to manage (via a 3rd party vendor) recurring payments for a booking,  e.g. a certain amount every week or the length of the hire. 
The 3rd party vendor we are working with is 'Paypa Plane', using their product called "Billy Cart" (https://www.billycart.com).  As a prerequisite for this feature, you will need to have set up an account with Paypa Plane. 

Note that RCM will need to setup this feature for you and a fee will be charged based on transaction volume - please see the Setting up Payment Subscriptions article for full setup details.

How to Create  Payment Subscriptions

When Subscriptions are setup in your system, you will see a button titled "New Subscription"  on the Booking Details as below. 



Clicking on the New Subscription button will display the following form to input the payment plan. 


Note that the default values on the form will reflect the booking dates and amount owing. 
If you make any changes to the default values, the Subscription Summary amounts ( in the blue highlight at the bottom of the form) will recalculate.

The Billing Period can be set to Daily, Weekly or Monthly. 
If you required fortnightly, you would select 'Week' and set the 'Billing Period Frequency' to 2 weeks. 

Click on 'Create Subscription' to send the new subscription to Paypa Plane.



The customer on the booking will now receive an email from Paypa Plane with further instructions as per the example below. 



Clicking on Setup Payments will allow them to setup approvals and payment methods - this is all handled by Paypa Plane external to RCM.

Once the customer has completed the payment setup,  payment events will start being captured by RCM.
The Payments will appear against the booking as though they were any other payment. 

Example:


Detach a Subscription


You are able to unlink or "Detach" a subscription from a reservation. 

This will unlink the subscription from the reservation, however it will not update the subscription at all, i.e. the subscription is still ongoing. 

You can use this if you assign the wrong subscription to a reservation, or if you need to switch to a more current subscription for the customer.



Select the 'View Subscription' button.

The following will display with the option to click on the 'Detach Subscription' button





Failed Payments 

You can check for failed payments by running the Failed Payment Subscription Log report.
