New Customer

Purpose

The New Customer page is where you can add new customer records to be used for quotations and bookings.


Accessing the New Customer tab 

Reservations >> Customer Maintenance 

Select "Add Customer"

Add a New Customer

After clicking on the "New Customer" button, you will be presented with the following screen as seen below. From here, enter the new customer's details. These fields are very similar to those on the Drivers Details screen when making a Booking. See the "Adding a Reservation" article for a description of each field.
Click "Submit" to save the new customer record.


Company
This dropdown is a list of all Company records set up in your system
If this customer belongs to a company, select the relevent option, If not, leave blank.
Last Name
The customer's Last Name
First Name
The customer's First Name
Email
The customer's email address
Phone
The customer's phone number.
Mobile
The customer's mobile number.
DOB
The customer's date of birth
Licence #
The customer's licence number.
Licence Expiry Date
The expiry date of the customer's licence number.
Licence Class
The class of the customer's licence.
Licence Issured In
The country or state the customer's licence was issued in. 
Fax #
The customer's fax number.
Membership #
The customer's membership number.
Passport #
The customer's passport number. 
Maintenance Customer
Select whether they are a maintenance customer.
Depending on your system setting, maintenance bookings may only be assigned to maintenance customers. 
Occupation
The customer's occupation.
This dropdown is a list of occupations setup under System Settings >> Rental Source >> Customer Occupation.
Address information
This is where you can enter information about the customers home address including their:
  1. Address
  2. Suburb/Town
  3. State/Province
  4. Country
Local Address
This is where you can record where the customer is currently staying, if it is different from their home address.
E.g. the hotel where overseas customers are staying.
Payment Type
The tender type used by this customer.
Corporate Rate Type
If a corporate rate type applies to this customer, select the relevant one from the dropdown.
Any booking made against this customer will use the selected corporate rate type.
Rate Discount
If a Customer Discount applies to this customer, select the relevant one from the dropdown.
Any booking made against this customer will automatically have this discount applied. 
Insurance Preference
If you want an insurance to be automatically applied to this customer's bookings, select the relevant one.

Category Preference
If the customer has a preferred Vehicle Category, you can select it here.
Do Not Rent
Leave this field blank unless this customer has done something that means you will not give then any bookings in the future. If this is the case, the select the Do Not Rent Reason why you will no longer give them a booking. 
Selecting a Do Not Rent Reason here is automatically add the customer to the Do Not Rent List. 
Do not rent res #
If the above Do Not Rent Reason is linked to a booking, enter the booking number.
Mailing List
Select whether or not this customer is on the mailing list.
Notes
Enter any notes for this customer. 

Insurance Preference

Applying an insurance preference to a Customer, means that when a new booking is made in RCM against this Customer, this insurance option will be automatically selected. 
However, company records can also have insurance preferences set against them, and certain insurance options can be marked as applying by default. As such, when a new booking is created, it selects the insurance options by checking:
  1. Is there a valid insurance option set as the customer's Preferred Insurance? If so, select this option.
  2. If there is a Customer Company against the booking, is there a valid insurance preference set against this company? If so, select this option.
  3. Is there an insurance option set to "Display as default" that can apply to this booking? If so, select the one with the correct vehicle category, location, age and date restrictions.
  4. If none of the above are found, leave the insurance field empty,
