Future Mileage Maintenance Report

Purpose:

Rental Car Manager (RCM) allows you to setup Periodic Management (PM) services. This enable you to, for example, setup a Oil Change services that is due every 10,000 Kms, or every 120 days. There is both a Periodic Services due by Date and a PM Due by Units report which allows you to see when vehicles are coming close or have passed the point where they are due for a service.

Both of these reports are unable to tell you at what point in the future a vehicle might be due for a service. The Future Mileage Maintenance Report will do this for you. You are able specify a date and the report will show every booking for the vehicles that fall within this range which have a PM service associated with them. It will then calculate when a service might be due using the Kms Free option that has been added to the booking. If there is no Kms Free option against a booking, it will not be included in this report.

Parameters/Filters:

Pickup Location
This report can be run for All Locations or a specific pickup location.
Only bookings with this as their pickup location will appear in the report.
Pickup Date To
This report will bring back all bookings where the pickup date of the booking falls before this date,
Service Name
Select a service name to filter by, if applicable 
Service Type
Select a service type to filter by, if applicable 

Example:





Res
The reservation number of the booking.
Status
The status of the booking.
Rego
The registration number of the vehicle assigned to the booking.
Fleet #
The Fleet number of the vehicle assigned to the booking.
Pickup 
The Pickup Location of the booking.
Pickup Date
The Pickup Date of the booking.
Drop Off Date
The Drop Off Date of the booking.
# Days
Number of rental days calculated for the booking.
Mileage/Kms Free
The number of Kms/Miles that are allowed for each day of the booking based on the Kms Free option assigned to the booking.
Mileage/Kms Allowed
The total number of Kms/Miles that are allowed for the booking free of charge.
This is the Mileage/Kms Free * Number of days.
Due In
This is the number of Kms/Miles of travel that the vehicle has left before it is due for the Service listed in this report.
Units Over
This is the number of Kms/Miles this vehicle will be over the Service Due at the end of this booking.  It is assuming that the Kms/Miles travelled for the booking are the amount that have been associated with the booking as the Kms Free option.
This is calculated using the following:
Units Over = (Current Units + Mileage/Kms Free)  - Next Due
Next Due
This is the number of Kms/Miles at which the vehicle will be due for the Service listed in this report.
Last Completed
The number of Kms/Miles that was on the vehicle the last time the Service listed in this report was performed.
Current Units
The current mileage of the vehicle as recorded inside RCM.
Interval
The interval period that been setup for the service listed in this report. This is the number of Kms/Miles between each service.
Days to Pickup
The number of days until the booking reaches it's pickup date.
PM Service
Clicking on the "Add PM Service" button allows you to enter a new PM service for this vehicle.
Service Name
The name of the service that is being checked.
Service Type
The type of service that is being checked

Points to Note:

It is important to note that if there is more than one booking being returned for a vehicle in this report, the calculations for when the vehicle may be due for a service do not take into account any of the other bookings returned.
