Creating and Working with Virtual Vehicles


Purpose

Virtual Vehicles are 'dummy vehicles' used to temporarily hold bookings.  There are two main reasons why you may wish to use Virtual Vehicles

1.  When swapping bookings between vehicles 
2.  When you are not sure which vehicle you will use for a booking  - eg - you are waiting arrival of a newly purchased vehicle

Depending on your business processes, you may find other instances where allocating a Virtual Vehicle to a booking may be useful. 

Creating a Virtual Vehicle

A Virtual Vehicle is created the same way as any other vehicle in your fleet.  
If you are unsure how to create a vehicle, see the  'Adding a Vehicle' section in the  Vehicle Update article. 

Once the vehicle is created,  in the Vehicle Maintenance > Vehicle Update >Add Vehicle from,  set the Virtual Vehicle flag to 'Yes'




Virtual Vehicles will always appear at the bottom on the list on the Vehicle Update screen as below




Virtual Vehicles  will also appear at the bottom of each category on the Reservation Sheet





Allocating a Virtual Vehicle

On the Reservation Sheet
You can use the drag and drop functionality to move a booking onto a virtual vehicle in the same category. 

This is useful when 'swapping' bookings between 2 vehicles.  If you wanted to swap the vehicles on booking 1 and booking 2: 
  1. Drag and Drop Booking booking 1 from Vehicle 1 onto  a Virtual Vehicle 
  2. Drag and Drop Booking 2 onto Vehicle 1
  3. Drag and Drop Booking 1 from the Virtual Vehicle onto Booking 2
Done!

From the Booking Form>Booking Details 
Select the Virtual Vehicle from the Vehicle list 



When Allocating a Vehicle to an Unallocated Booking 
From the Allocate Reservation > Allocate Vehicle screen
