Vehicle Relocation Reports

Purpose

When vehicles are shared among different locations, sometimes leading up to a Reservation, the vehicle may not always be in the correct physical location for pickup.
The Vehicle Relocation Report allows you to identify Reservations where the vehicle is not at the correct physical location and therefore gives you an opportunity to organise the relocating of vehicles in time for their next pickup. If the Availability Engine is integrated and enabled within your system, then there is a second report that gives similar information called the Vehicle Relocation Report (Availability Engine). 
It does this by listing vehicles where the last drop off location is not the same as the next pickup location. It also shows vehicles where the current location is not the same as the next pickup location.

Vehicle Relocation Report 

Parameters/Filters

The following parameters can be applied to these reports.

Pickup Location
You can choose to run these reports for All Locations or one specific location.
Region
You can choose to select a region to run these reports for.
If you choose both a Pickup Location and a region, the region is used.
Category Type
What vehicle category the booking falls under - eg - Car, Bus.
Pickup Date
The Pickup Date range you wish to run the report for. This will only find Reservations which have pickup dates that fall within this range.

Example

This report will show any vehicles that need to be relocated before their next Reservation. The vehicles that are displayed are ones where there is a reservation where the pickup date falls in the pickup date range entered.
These reports determine if a vehicle needs to be relocated if either of the following two checks are found to be true:
  1. The last drop off location of the vehicle does not match the next pickup location, or
  2. The current location of the vehicle does not match the next pickup location.



Category
The Vehicle Category of the vehicle in question
Vehicle Rego
The Registration number of the vehicle
Fleet #
The Fleet number of the vehicle
Last Dropoff Date
The Last Dropoff date for this vehicle.
If there are no previous reservations for this vehicle, then the Date On Fleet value will show here.
Last Dropoff Location
The Last Dropoff Location for this vehicle.
If there are no previous reservations for this vehicle, then the Current Location will show here.
Current Location
The current location of the Vehicle
Last Res #
The reservation number of the last reservation for this vehicle.
This is the reservation where the last dropoff date and last dropoff location have come from.
If the reservation number is showing as 0, this means there are no previous reservations for this vehicle.
The status of the previous reservation is shown in brackets after the reservation number.
Next Pickup Date
The date of the next pickup for this vehicle.
Next  Pickup Location
The location of the next pickup for this vehilce
Next Res #
The reservation number of the next reservation for this vehicle. 
This is the reservation where the next pickup date and next pickup location have come from.
Days allowed for relocation
The number of days from the current day until the next Pickup. This lets you know how long you have to relocate the vehicle.

Vehicle Relocation Report (Availability Engine)

This report has the same filters and fields as the Vehicle Relocation Report. It will will include all of vehicle relocations in the other report, though they will be marked as "ACTUAL".
The only differences are that it is also displays:
  1. "SUGGESTED" vehicle relocations. These occur when there is an unallocated booking for which a vehicle needs to be relocated to its pickup location. This will be recorded against the vehicle that the availability Engine has suggested this booking should be allocated to
  2. Placeholders -  these are bookings which specify a timeframe in which a vehicle needs to be relocated from one place to another. Placeholders can be created manually on the Availability Engine Sheet, or by deleting a one way booking if this Availability Engine Setting for this is set to "Yes".
