Thank You Emails

Purpose


Thank You Emails can be setup within RCM to automatically send to a customer when a booking status is updated to 'Returned'.  The email is fully configurable for your company and is setup via a template. 
This function also provides the flexibility to exclude particular bookings from having the email sent, please see the Thank You Email Exclusions article for information on how to set this up.

Note that this function is not standard within RCM, if you wish to use the Thank You Emails, you will need to contact RCM Support to have it setup for you - support@rentalcarmanager.com

Setting up the Thank You Email Template.

System Setup >> Manage System Emails
 

Select 'Bookings - All other Emails' and click on Email Thank You Letter



The Following Template will display:



The "Currently Active" flag must be set to 'Yes' to turn on the function. 

The message area allows you to enter free text - this section is available on all Templates and has a standard set of Editing Tools available to assist in formatting your message.
Note that you should not cut and paste text from another formatted document such as Word, as the formatting will not copy across.
Formatting should be completed using the formatting tools on the top toolbar, or, if you are familiar with HTML, you can click on the 'Source' button and use HTML to format your text. 

You are able to "Insert Dynamic Content" into the message area. These are placeholders that will be replaced by the specific bookings information when it is sent, including the
  1. Customer Email - This will be replaced by the email address of the customer that is saved to the booking.
  2. Days Hired - This will be replaced by the number of days that the booking was on hire.
  3. First Name - This will be replaced by the customer's first name.
  4. Last Name - This will be replaced by the customer's last name.
  5. License Issued - This will be replaced by the country the customer's license was issued in, as it is recorded against the booking.
  6. Reservation No. - This will be replaced by the Reservation Number of the booking.
  7. Vehicle Category - This will be replaced by the category of vehicle the booking was against.
  8. Kms/Miles Traveled - This will be replaced by the Kilometers/Miles travelled by the vehicle while the booking was hired out.

Once you have entered the required information, click on "Save". The Email will now be automatically sent to the Customers email address against the booking when a booking status is changed to 'Returned'.
