Relocation Special Records
Purpose
The Web Relocation Special List is where you add or maintain Relocation Specials within Rental Car Manager (RCM).

Adding and Viewing a Record
On the Web Relocations Specials screen, a list of previously entered specials will be displayed. To view an existing record, click on the pickup location in red text. To add a new relocation special, click on "Add Web Relocation Special".
On the Web Relocation Special screen, see below, enter information into the following fields:
- Pickup Location (Mandatory)
- Drop off Location (Mandatory)
- Pickup Date From (Mandatory)
- Pickup End Date (Mandatory)
- Drop Off End Date (Mandatory)
- Max Booking Days (Mandatory)
- Daily Rate (Mandatory)
- One Way Fee (Optional)
- Category (Mandatory)
- Vehicle Rego (Optional)
- Web Description (Optional)
Click "Submit" to save changes.
After clicking "Submit", you will be taken back to the main Web Relocation Special screen, where you will see the newly added record.
Important Notes About Relocation Specials
- If a Vehicle Registration has been assigned to the relocation record, the subsequent booking will be created as an Allocated booking where it is allocated to the specific vehicle.
The booking will also be flagged as a "Do Not Move" booking, which means that the vehicle allocated to the booking will not be able to be changed. - If no Vehicle Registration has been assigned to the relocation record, the relocation booking will created as a confirmed unallocated booking.
If the System Parameter 'Save After Hours bookings as On Request for Web API' is set to yes, and the relocation booking being requested has an after hour pickup, the relocation bookings will not be allowed. - Any Holiday fees, After hours fees and Mandatory fees that have been setup within RCM will still be automatically applied to Relocation Special bookings where it is appropriate.
- When a relocation booking is created via the API (an online booking), it will initially be saved as quote. It will be updated to a booking if a payment or a Credit Card is saved.
- The relocation booking special will be held for 30 min during the booking process, after 30 min the quotes will be removed from relocation special record.
- Once a relocation booking has been successfully created, the relocation special record will be updated to show the booking that has been created, and a status of Taken.
- If a Relocation Special booking is updated inside RCM, if the changes do not allow the booking to fall within the rules setup for the Relocation Special, the update will not be allowed.
Form Field Descriptions
| Pickup Location | The pickup location of the relocation. |
| Drop Off Location | The drop off location of the relocation. |
| Pickup from | The start of the date range that the relocation booking will have to be picked up. |
| Pickup End | The end of the date range that the relocation booking will have to be picked up. |
| Drop off date End | The date that the relocation booking will have to be dropped off by. |
| Max Booking Days | The maximum number of rental days that the relocation booking can have. |
| Daily Rate | The daily rental rate that will be applied to the relocation. The seasonal rates within RCM will be ignored. |
| One Way Fee | The one-way fee that will be applied to the relocation. If no fee is selected here, then no one-way fee will be assigned to the booking. Any relocation fees setup under the Web Relocations screen will be ignored. |
| Category | The vehicle category for the relocation. |
| Vehicle Rego | If the relocation is for a specific vehicle, this is the registration number of the vehicle. |
| Description | If there was a Web Description added against this Relocation Special Records, then this will shows the description. |
Status | The Status of the Relocation Record 'Available" if there are currently no quotes or bookings that have been created against this record. "Taken" if there is a booking or Quote against his Relocation Special Record |
| Res | The reservation number of the booking that was created for this relocation special. This field is not part of the screen where the relocation is added/updated. |
