A: If you want to remove a vehicle, you should set the "Available for Booking" flag on the Vehicle record to "No".
To do this, follow the procedure below.
1. Go to Vehicle Maintenance, then click Vehicle Update.
2. View all the vehicles or search for the vehicle by Rego/Fleet# and then click the Rego number in red to update the vehicle details.
3. On the right hand side of the screen, you will find the Available for Booking field. Set this to No. Click Submit to save your changes.
The vehicle will no longer be displayed on the Reservation Sheet or be available for bookings.
We recommend that you don’t actually “delete” any vehicles until they have been off-fleet for approximately 12 months. There is no loss of any Revenue information, but there is a certain level of detail lost. There are also certain things that you can’t access (eg. unable to update a booking with this vehicle on it) when you delete a vehicle.
However when you set a vehicle to not available for booking (which means there is no charge from RCM) and set the “Date Off Fleet”, you are still able to access all RCM features for the vehicle. Then at a later date you may delete the vehicle when you are sure the vehicle has not been allocated to any bookings and you are sure you want to delete the vehicle. Note that the transaction history for the vehicle will still be available if the vehicle is deleted.
How to Delete a Vehicle
Once you determine that it is safe to delete the vehicle, you can delete it as follows
Access Vehicle Maintenance>Vehicle Update
Find the vehicle you wish to delete and click on the Delete Icon in the last column
If there are any current or future reservations for the vehicle, will will not be able to delete it and you will get the following error message:
You will need to close off or cancel any outstanding bookings for the vehicle and perform the delete process again.
