Part Day Rate

Purpose

Most rates in RCM charge bookings in whole day intervals. However, for bookings that include part of a day, you may not want to charge them for an entire day. As such, RCM has a feature known as Part Day Rates that allow you to charge a percentage of the daily rates for each extra hour the booking lasts after any 24-hour period.

For example: for a booking from 9:00AM on the 1st to 1:00PM on the 2nd
  1. Without Part Day Rates, this will be charged for 2 days
  2. With Part Day Rates, depending on the set up, this can be charged something like 1.3 days.
  3. Part Day Rates can apply to any length of booking, for example you could have a 1.5 day booking or a 5.3 day booking.

Accessing Part Day Rates 

The Part Day Rates tab can be found under Rates in the System Setup menu.
System Setup >> Rates >> Part Day Rate



Adding and Viewing Part Day Rates

To view any preexisting Part Day Rate records, select the Location and click View.
To add a record, click "Add Part Day Rate".


On the new Part Day Rate page, do the following:

A. Select the Location to which the Part Day Rate will be added. This can be all or an individual location. The Part Day Rate will only apply to bookings with this as their Pickup Location.

B. Enter a number in the Hour From box. This means that the Part Day Rate will be applicable starting from the number on this box, e.g. if 1 is entered on this box, this means that the part day rate will be applicable for bookings from 1 hour past the last 24-hour mark. 

C. You have to enter a number in the Hour Up To box. Taken together, the range of numbers on the Hour From and Hour Up To boxes means that the Part Day Rate is applicable from the number on the Hour From box until the number on the Hour Up To box, e.g. if 1 is entered on the Hour From box and 6 on the Hour Up To box, the Part Day rate will apply for bookings that are 1 to 6 hours past the last 24 hour mark, and after 6 hours, it will be charged for a full day.

D. Enter the Part Day Rate % (Per Hour) as a percentage of the daily fee, e.g. 10%. This is the percentage of the daily rate that will be charged for each hour in this Part Day Rate structure.

Click Submit to save the record.


How Part Day Rates Are Calculated

If Part Day Rates for a location are set up as shown below, they will be charged in the following way:
  1. For a booking from 12:00PM on the 1st until 3:00PM on the 2nd, they will be charged 1.3 days --> 3 Hours X 10% = 30%
  2. For a booking from 9:00AM on the 1st until 4:00PM on the 2nd, they will be charged 1.7 days --> 7 hours X 10% = 70%
  3. For a booking from 7:00AM on the 1st until 6:00PM on the 2nd, they will be charged 2 days --> 11 hours X 10% = 110%, but when a Part Day Rate Percentage exceeds 100%, the booking is charged for 1 day instead. A Part Day Rate value charged on a booking can never exceed one day.



There are also two system parameters that effect Part Day Rates. These can be found by going to System Setup >> System Parameters >> Rate Parameters.
  1. Grace Period: If the Grace Period in your system is set to a value other than 0, this will be taken into consideration when applying Part Day Rates. Part Days rates will not begin to be charged until after the Grace Period has passed. For example, using the above Part Day Rate setup, if your Grace Period is set to 2 hours, a booking from 12:00PM on the 1st till 3:00PM on the 3rd, will only be charged 2.1 days.
  2. Use Part Day Rate for booking less than 1 day if no Hourly Rate set up: If there are no Hourly rates set up in your system that can apply to a booking less than 1 day, then: 
    1. If this parameter is set to No, it will be charged 1 day.
    2. If this parameter is set to Yes, Part Day Rates will be used to determine how much of a day is charged.
