Extra Item Availability Report

Purpose:

Rental Car Manager (RCM) has an Extra Item function which allows you to keep track of physical items that go out with a vehicle when it is Hired. An example might be Car Seats or GPS devices.
The Extra Items Availability report allows you to see at a glance the availability of these extra items on a daily basis. This would allow you to make sure that you have the correct number of items available in a location for a specific date. If you can see that you will not have enough items for a day, running this report gives you the opportunity to move items around between locations, or even highlight if you may need to purchase more.

Reports >> Daily Activity Reports >> Extra Items Report >> Extra Item Availability Report




Parameters/Filters:


Location
This report can be run for All Locations or a specific location.
Extra Item
This report can be run for All Extra Items or a specific Extra Item.
To Date
The date the report will run to from Today's date.

It is important to note that this report requires you to choose either a location or an Extra Item when running this report. you will not be able to run it for All Locations and All Extra Items.

Example:

There are 2 different formats for the report results. This is dependent on whether you choose a Location or an Extra Item to report on.
If you choose to report on a Location, you see the report results shown below. You will get a listing of all of the Extra Items with the relevant availability information for the selected Location.




Extra Item
The name of each Extra Item.
Report Day
Each day included in the report will have a row showing the following information for the Extra Item:
  1. Available - the number available.
  2. Pickup - the number being picked up.
  3. Drop Off - the number being dropped off.

If you choose an Extra Item to report on you see the report result shown below. You will get a listing of all of the Locations with the relevant availability information for the selected Extra Item.



Location
The Name of the Location.
Report Day
Each day included in the report will have a row showing the following information for the Location:
  1. Available - the number available.
  2. Pickup - the number being picked up.
  3. Drop Off - the number being dropped off.

Points to Note:

  1. The calculation of the value for Today's Available = Yesterday's Available + Yesterday's Drop Off(does not include same day drop offs) - Today's Pickup.
  2. The report includes information from unallocated bookings. It does not include On Request bookings.
  3. If you click on the date, you can see a listing of the pickups and drop offs for this day and location. Below is an example of this screen.


    Item Group
    The name of the Item Group
    Pickup/Drop Off
    States whether this is a pickup or a drop off.
    Status
    The status of the reservation.
    Res #
    The reservation number for the booking.
    Pickup
    The pickup location date and time
    Drop Off
    The drop off Location date and time.
    Rego
    The registration number of the vehicle assigned to the booking.
