Overview
Sometimes Rental Car Companies have different rates they would like applied to bookings for either a specific customer or company. The Corporate Rates function within Rental Car Manager (RCM) allows you to do this. You can either give a discounted rate for good customers or a more expensive rate for difficult customers.
Once the Corporate Rates have been setup, you are able to assign the Corporate Rate Type to either a Customer or a Company. After that, any time a booking is created for either the customer or company, the Corporate Rates will be applied to the booking.
At this point in time the Corporate Rates are only applied to bookings that are created inside of RCM. Any bookings coming from either the Web or the Agent API will not have Corporate Rates applied to them.
Setup of Corporate Rates
Corporate Rates are assigned to either Customers or Companies within RCM using a Corporate Rate Type. The following article details how to maintain the Corporate Rate Types,

Assigning of Corporate Rates
Once the Corporate Rates have been setup, you are able to assign these rates to either a customer or a company within RCM. This would mean that any bookings that are then created for one of these customers or companies would have the Corporate Rates assigned rather than the Seasonal Rates.
You can assign a Corporate Rate Type to a Customer via the Customer screen shown below. You can access this screen by choosing the "Customer Maintenance" option under the Reservations menu and then searching for the customer. You can access this screen by choosing the "Customer Maintenance" option under the Reservations menu and then choosing the Company tab. Search for the Customer Company and then update them. Bookings with Corporate Rates
If you have either a customer or a company on a booking which has a Corporate Rate Type assigned to them, then the relevant Corporate Rates will be applied to the booking.
The following rules apply to bookings with Corporate Rates:
- If both the customer and the company on the booking have a Corporate Rate type against them, the Company's Rate Type will be used.
- Any Agent bookings will ignore Corporate Rates and apply the Agent Rates.
- Any Corporate Rates will be applied as an averaged rate.
- If a Corporate Rate booking is extended after it has been hired, then the Averaged rate will be used for any extra days.
- If a company is added to a booking and the new company has a Corporate Rate Type assigned to them, then the rates will be re-calculated to the corporate rates.
- If a company is removed from a booking and that company had a Corporate Rate Type assigned to them, the rates will be re-calculated to not use the corporate rates.
- If you change the customer on a booking and the two Corporate Rate Types do not match, the rates will not be re-calculate automatically.
Corporate Rates and Changing Customers on Bookings
When you use the Change Customer function within RCM, it is easy to see if any of the customers in the list have a Corporate Rate Type assigned to them, see below.
If you change the customer on a booking and there is a difference between the Corporate Rate Type for the two customers, you will receive a notification. If you wish to update the rates you will have to update the booking and force a re-calculation. The following message will be displayed in this case when changing a customer.
