Cancelled Booking/Quotation Report

Purpose:

The Cancelled Bookings/Quotation Report displays all of your cancelled bookings or quotations for a specified date range. It allows you to view bookings that have been cancelled by certain agencies, have the same cancellation reason, the same pickup location or the same rental source.
You can also view booking details from this report and see the total value of cancelled bookings as well as the total cancellation fees.

Reports >> Daily Activity Reports >> Booking Status Report >> Cancelled Bookings/Quotes




Parameters/Filters:


Pickup Location
This report can be run for All Locations or a specific location.
Agency
This report can be run without taking agents into account or run for a specific agent.
Cancellation Reason
This report can be run for All Cancellation Reasons or for a specific Cancellation reason
Rental Source
This report can be run for All Rental Sources or a specific Rental Source
Category
this report can be run for All Categories or a specific Category
Booking/Quotation
You can choose to run this report for either bookings or quotations
Date Range Type
This report can be run for one of the following date range types:
  1. Pickup Date
  2. Booking Date
  3. Cancellation Date
Date Range
The date range the report will be run for.
Order By
You can choose to order this report by one of the following options:
  1. Pickup Date
  2. Booking Date
  3. Cancellation Date
  4. Operator Booked 
  5. Agent 
  6. Cancellation Reasons
  7. Rental Source
  8. Category


Example:





Res
The reservation number of the booking
rcmReferenceID
The RCMReferenceID against the booking - this is the value used by the API to identify a booking
Ref
The reference that has been assigned to the booking
Category
The vehicle category that has been assigned to the booking
Customer
The name of the customer that is assigned to the booking
Email
The email address of the customer that is assigned to the booking
Country
The country that the customer has entered against the booking
Pickup
The pickup location of the booking
Pickup Date
The pickup date of the booking
Drop Off
The drop off location of the booking
Drop Off Date
The drop off date of the booking
# Days
The number of rental days of the booking
Rental Revenue
The rental rate charge 
Booking Value
The total cost of the booking
Cancellation Fee
The value of a cancellation fee if it has been assigned to the booking.
Payment
The total of any payments saved against the booking.
Merchant Fee
The merchant fee charge for any payment that still applies to the booking
Balance Due
The balance due of the booking
Date Booked
The date the booking was created
Booked By
The operator who created the booking
Agency
The name of the agency against the booking if there is one assigned
Date Cancelled
The date the booking was cancelled
Cancelled
The operator who cancelled the booking
Cancellation Reason
The cancellation reason that was assigned to the booking
Rental Source 
The rental source which is assigned to the booking.
Notes
Any information that has been saved in the Notes field on the booking.

Points to Note:

A lot of questions have come in regarding the COVID-19 outbreak, and how bookings can be deferred to a later date. The below article outlines the best way to go about doing this. 
In short, you must cancel the booking (ideally against a new cancellation reason- eg - "Covid Deferred". You can then opt to send a deferral notice to the customer. This is explained in the article linked to in the Relevant Links section below. 
It is important to note, that once you have selected a reason for the cancellation/deferral, you are able to update that particular booking for a later date.
