Assigning Rate Discounts to Agencies

Purpose

There are two different ways to offer discounted rates to your Agencies.
  1. If you want a static discount to apply to all bookings for an Agency or Branch, then you should add the discount directly to the Agency or Agency Branch record.  You can find information about how to do this here: Setting up your Agency Records.
  2. If you want the flexibility to assign a discount that may be valid for a fixed period only, or if you'd like to have only one of your agencies able to access a particular discount via a campaign code, then you can set this up via the Web Rate Discounts page.  This article explains how to do this.
  1. Go to Web Site Interface -> Web Rate Discount
  2. Add your discount (if it doesn’t already exist).  See the Web Rate Discount article for more information.
  3. If you don’t want the discount to be available via your own website, mark it as “Web Rate Discount?” = “No” – you can still make it available via AgentAPI for specific agencies.
  4. Find your discount in the main list, and click the “Agents” button on the right (see Pic 1 below)
  5. The next form allows you to link the discount to an Agency Branch – click “Add Discount By Agency” (see Pic 2 below)
  6. Select the Agency Branch (or “All Agencies” if necessary) and Save
  7. Repeat for any other branches that the discount should be applied to.
  8. You can use the same form to search for all discounts by agency branch, or for all agency branches by discount.

Note the following rules apply when applying discounts:
  1. Any agency or branch that has a discount applied to their rates (i.e. via the agency/branch record) will still receive that discount, and no other discount can be applied.
  2. For those agencies/branches that don’t have that highest-level discount, you can now apply one or more rate discounts directly to the agency via the Rate Discount form. 
  3. You can also set a discount to apply to All Agencies if necessary
  4. If you assign a discount to a particular agency branch, then that will take precedence over any other discount.  For e.g. if you had a generic 10% discount for BranchA, this would be applied and any other discount not assigned to BranchA would not be considered.  In this respect it behaves like the highest-level discount mentioned in #1 above. 
  5. If there is more than one discount applied to BranchA, then the current rules would be used to determine which one to apply (based on most-specific category/date range etc)
