Accessing Package Deals Within RCM

Overview

Once a package has been setup inside your Rental Car Manager (RCM) system, it is possible to create a new booking as a Package Deal booking.

Creating a Package Deal Booking

It is possible to create a new package booking from within RCM, it is as simple as choosing the relevant Package from the list of Available Packages on the Booking Details tab of the Booking Form. This is shown in more detail in the "Process to Create the New Package Deal Bookings" section below.

Rules Applied When Creating a New Package Deal Bookings

The following rules are applied when creating a Package Deal Booking:
  1. After the Vehicle Category, Pickup and Drop-Off locations, Dates and Times have been entered, only the applicable packages will be displayed in the Packages drop-down list.
  2. If a Kms Free option has been assigned to a package, then this will be applied to the booking. It will not be possible to choose a different option.
  3. If an Insurance option has been assigned to a package, then this will be applied to the booking. It will not be possible to choose a different option.
  4. Any Extra Fees that have been assigned to the package will be included as mandatory fees on the booking. It will not be possible to either remove them or update the cost of the fee.
  5. If one of the Extra Fees assigned to the package would have been set as a mandatory fee to the same booking if it wasn't a package booking, it will not be included on the Package booking. For example if you assign an out-of-hours fee to a package, then if the out of hours fee would normally be assigned to the booking, then only the fee against the package will be included on the Package booking, making the fee only apply once.
  6. It will not be possible to assign a discount to a Package booking.

Process to Create the New Package Deal Booking

While in the Booking Details tab, shown below, you will see a "Show Packages" button. Clicking on this will display a drop-down list of the applicable packages based on the vehicle category, pickup location, date and time, and also the drop-off location, date and time.



You can see below that if there are no applicable packages, there will nothing in the drop-down list.



If there are applicable packages, they will show in the Package drop-down, see below.



Once you have chosen the relevant package, you will see the name of package as the Rental Rate. All of the relevant fees will be against the booking. 


Updating a Package Deal Booking

You are able to update a package booking in exactly the same manner as you would a non-package booking.

Rules Applied When Updating Package Deal Bookings

The following rules are applied when updating a package booking:
  1. If any of the changes you make to the booking, in regard to location, category and dates, make the booking no longer fall within the package setup, then you will not be able to make the changes. This only applies to bookings with a status of Reservation. Any Hired bookings do not have this check performed and you are able to extend a Hired booking beyond the package settings. This is discussed in the section below.
  2. You will be unable to update the rental rates on a package booking.
  3. You will be unable to add a discount to a package booking.
  4. If there was an insurance option included in the package, then this will be the only option available for the booking. You will be unable to swap to a different one.
  5. If a Kms Free option has been assigned to a package, then this will be the only option available for the booking. It will not be possible to choose a different option.
  6. You will not be able to change or remove the package from the booking. If you wish to do either of these two things, you will have to cancel the booking and create a new one.
  7. You will not be able to remove or update the costs for any of the extra fees that are included in the package.
Below is an example of the message if you try to update a booking in such a way that it no longer fits within the package setup.

Steps to Update the Package Deal Booking

Extending a Package Deal Booking once Hired

It is important to note that when you extend a package booking, i.e., you update a booking when it has a Hired status to make it longer, the rental rates applied will be the rates associated with the package.   If you wish to extend a package booking and use standard or seasonal rates for the extended period then we would recommend you create a new booking for the extended period so standard or seasonal rates are used.
