Workflows are a series of steps or procedures that must be completed in order to perform a task. There are a number of workflows setup in RCM that can be completed by a customer, including the Online Check-in and Converting a Quote to a Booking. In addition, RCM Lite consists of three major workflows involving the Hire Out, Return and Inspection of Vehicles. A well-structured workflow has numerous benefits including:
- Standardisation: A defined workflow helps ensure consistency, which can improve efficiency and reduce the likelihood of errors or confusion.
- Clarity: A clear and well-defined workflow can help to avoid misunderstandings, disputes, and miscommunications for both you and your customers.
- Efficiency: A structured workflow can help to streamline many processes, to save time and effort for both you and your customer.
- Compliance: A defined workflow can help to ensure that you follow all legal and regulatory requirements, such as verifying the customer's driver's license, collect a signature on the Rental Agreement, documenting any damages to the vehicle, and properly handling payment and refunds.
- Customer satisfaction: A well-executed workflow can contribute to a positive customer experience, which can lead to repeat business and positive reviews.
Personalisation
As workflows are so specialised, RCM now allows you to personalise some of them to better suit your needs. This includes:
- Which steps to include or exclude depending on your requirements,
- The specific content of some steps such as the items on a checklist and what images are required to upload.
- What order the steps appear in.
- Additional information you want to display for the user.
- Whether or not the workflow is currently enabled for use.
There are a number of workflows that you are able to create, update and delete, including the RCM Lite ones. However, there are also some which you are unable to change yourself and need to contact
support@rentalcarmanager.com to add or update.
Workflow Setup
The Workflow Setup can be accessed by going to System Setup >> Workflow Setup.
On the Workflow Setup page shown below, you are able to add new workflows that haven't been setup yet, add and edit the setups of existing workflows, and disable existing workflows.
