Rental Car Manager has partnered with Windcave to allow the use of their platform as an option to process payments in RCM. To use the Windcave integration in Rental Car Manager you will need to already have your own Windcave account setup. Windcave will then provide you with credentials to enter into RCM in order to link it to your Windcave account. Once integrated, you can then save customer cards in Windcave, and use it to process authorisations, payments and refunds.
Connecting Your Account
You may require multiple Windcave accounts for different locations and brands (if branding is enabled in your RCM system). If so, please email RCM support at support@rentalcarmanager.com for access to this feature.
The integration and setup of your Windcave Account in RCM can be done by going to System Setup >> Payment Gateway >> Windcave
This will open the page shown below. To add a new account, please select the "Add Account" Button.
Once you have clicked on the "Add Account" Button, it will open the window shown below. You will need to enter the following information:
- PxPay User ID, Key, Username and Password - These are all the credentials provided to you by Windcave after you set up an account with them. You will need to enter these values to connect to this account.
- Brand and Location - These will only be visible if you have the multiple Windcave Accounts option enabled, as mentioned earlier. The process by which multiple accounts with different locations and brands are handled is explained below.
- Currency - The 3 letter currency code for the currency this Windcave account will use.
- Use Void for releasing authorisations - If your Windcave Account has Void functionality enabled, you can enable this and any authorisation voided using this account will be done so with this Void functionality. Otherwise, leave this unticked, and voiding will be handled by capturing a payment of $1 and immediately refunding it.
Once done, click "Save Windcave Account", and your account will be connected and integrated into your RCM System.
Once you have finished adding your account/s, you can now enable Windcave using the "Enable the Windcave payment gateway" toggle at the top of the page and begin processing payments from inside RCM.
Multiple Accounts
You are able to set up as many Windcave accounts as needed. If you have multiple accounts setup in your system, when a non-Head Office User takes a payment through Windcave, the payment will be automatically processed through the account that best matches the Billing Location and the Brand against the booking (if you have Branding set up in your system).
However, Head Office Users are able to manually select which Windcave account the payment will be taken through.
As shown in the image below, there is a toggle with which you can control whether or not changing the Payment Location will automatically change the Windcave Account to one that matches the new location. If this is set to Yes, then when a Head Office User changes the payment location, they will see the Windcave Account change to match this location. If this is set to No, then this will not automatically change, and if the Head Office User wants the Windcave Account to match the new payment location, they will have to change it manually.
