Web Locations

Purpose

Web Locations specifies which locations are displayed on your website and the rules for bookings made for these locations.

By default all of your locations are available on the Web Locations page. However you have to set the parameters that allow your locations to accept bookings online.

The following parameters can be set up in Web Locations:
  1. Allow Pickups
  2. Allow Dropoffs
  3. Require a flight number
  4. Set the location as default
  5. Set the master location if applicable
  6. Specify the minimum driver age
  7. Set the number of days notice required
  8. Set the number of days a quote is valid for
  9. Specify the offices opening hours
  10. Allow after hour bookings
  11. Set the fee for after hours pickups
  12. Allow unattended dropoffs
  13. Set the fee for unattended dropoffs


Accessing Web Locations

Web Locations can be accessed under the Website Interface menu.

Viewing and Updating Web Locations

On the Web Locations screen, click the location in red text you want to update.


On the update page all parameters are set to No or 0 by default. Office hours are set to the office hours for each location by default.
The office hours are defined within the Location Hours tab (System Setup > Locations > Location Hours). 



Once your Web Locations have been setup they will be available for selection on your website.


Web Locations Field Descriptions

Name
Description
Pickup Available
Select whether vehicles can be picked up from this location. 
Dropoff Available
Set whether vehicles can be dropped off at this location. You may have some locations that are only available for pickup or only available for dropoff.
Flight No. Required
Specify whether a customer must provide a flight number when booking from this location or not.
Default Location
Sets this location as the default location on your website.
Availability Master Location
Set the master location if applicable.
Driver Minimum Age
Set the minimum drivers age for vehicles hired from this location. 
No. of Days Notice Required
Controls the number of days notice required for a booking at this location. For example if the days notice required is 2 then the pickup date must be no earlier than 2 days after the booking is made.
No. of Days Quotes Valid
Allows you to specify how long a quote is valid for from this location. Any customers attempting to convert a quote that is older than the number of days entered here will be declined and referred to your office.  The number of days is counted from the last edit on the quotation, or the last time the quotation was emailed via RCM. Set to 0 for no expiry.
Office Opening Hours
The default office opening hours for this location. Note that you can also set office hours for each day of the week if required from the Locations Hours page.
After Hours Booking
Allows you to specify whether you will take an after hours booking from this location.
After Hours fee
If accepting after hours bookings (see above) then you may select an appropriate fee here to charge the customer. Note that you will need to setup a fee using Extra Fees.
Allow Un-attended Dropoffs
Specify whether the customer may drop off the vehicle unattended. For example you may allow cars to be left at the airport for late departures.
Unattended Drop-offs Charge
If accepting unattended drop-offs (see above) then you may select an extra fee to charge the customer.
