Purpose:
Rental Car Manager has partnered with Stripe to make their platform the default payment processing option in RCM. To use the Stripe integration in Rental Car Manager you will need to create your own Stripe Connect account which is linked to your Rental Car Manager system. This can be done by following the steps in the Onboarding section.
Stripe's card readers are also supported with Rental Car Manager's Stripe integration. Trigger EFTPOS transactions from within RCM and automatically record your EFTPOS transactions against RCM bookings. See the Card Reader Setup section for instructions on registering your new Stripe card readers.
Please Note: Stripe accounts that are registered as Car Rental Agencies are blocked by AMEX from processing transactions globally.
Onboarding:
The Stripe onboarding process can be started from the Payment Gateway Settings screen in RCM (System Setup > Payment Gateway). If you require multiple Stripe accounts (e.g. an account per location/brand), please email RCM support at support@rentalcarmanager.com for access to this feature.
Ensure that the Stripe tab is selected then click the "+ Add account" button. Clicking this button will open a pop-up where you can configure the Rental Car Manager settings for the account. If you have location/brand specific accounts enabled (see previous paragraph), you will also see brand and location dropdowns. Once you have configured the account settings, click the "Create Stripe Connect account" button to be redirected to Stripe's onboarding process.
If you already have a login for Stripe, you can use the email address for that existing account. Details about the owners/directors of your company will be required throughout the onboarding process so please make sure they are present.
The onboarding process does not need to be completed in a single session; Stripe will save your details throughout so you can return to it at any time. If you visit the Payment Gateway Settings screen again you will see a “Continue onboarding” button which will let you resume the onboarding process from where you left off.
Once you have completed the onboarding process you will see the account Status change to "Enabled". You can now enable Stripe using the "Enable the Stripe payment gateway" toggle at the top of the page and begin processing payments from inside RCM.
Allowing Receipt Descriptions
Beneath the enabling toggle, there is a second one called "Allow users to enter a description for transactions." If this is activated, then for any payment made through a Stripe account that emails receipts, you will be able to add individual descriptions of the payments to each Stripe Receipt.
Multiple Accounts
You are able to set up as many Stripe accounts as needed. If you have multiple accounts setup in your system, when a Location User takes a payment through Stripe, the payment will be automatically processed through the account that best matches the Billing Location and Brand against the booking (if you have Branding set up in your system).
However, Head Office Users are able to manually select which Stripe Account the payment will be taken through.
As shown in the image below, there is a toggle with which you can control whether or not changing the Payment Location will automatically change the Stripe Account to one that matches the new location. If this is set to Yes, then when Head Office User changes the payment location, they will see the Stripe Account change to match this location. If this is set to No, then this will not automatically change, and if the Head Office User want the Stripe Account to match the new payment location, they will have to change it manually.
Card Reader Setup:
Once you have a Stripe Connect account you can setup Stripe card readers from inside RCM.
Open the Payment Gateway Settings page (System Setup > Payment Gateway) and click on the “Stripe card reader set up” link.
From the Card Readers screen click the “+ Add reader” button to begin registering a new Stripe card reader.
Select the location that the card reader will reside at, enter the registration code displayed by the card reader and enter a label so the card reader is identifiable in RCM.
Your locations in RCM need to have a full and valid address associated with them to be able to register a card reader. This includes the country, state/region (if applicable), postcode and street address. The card reader registration will fail if this information is missing from your locations in RCM.
You will need to enter the pairing code displayed on your card reader’s screen after connecting it to your Wi-Fi/network. If you have connected your card reader to your Wi-Fi/network and do not see a screen with a pairing code, see the link below to open the settings menu and generate a code.
Once you have filled out the required fields and clicked the "Add Reader" button, the new reader will be registered to your Stripe account and ready for use in RCM.
