Quote Management

Purpose

The Quote Management Report improves and streamlines the handling of the Quote Management process.
It tracks the history of all Quotes and makes it simple to assign staff to tasks as part of the follow up process. The primary purpose of this report is to assist in increasing the Quote conversion rate.

Accessing the Quote Management Function

The Quote management function can be found by going to Reservations >> Quote Management

Filters and Parameters

This report can be filtered according to:

Location
Only Quotes with this as their Pickup Location will appear in the report.
This report can be run for All Locations or a specific location.
Brand
This filter will appear if you have Branding enabled in your RCM System.
The report can be run for All Brands or a specific Brand, and only Quotes made against the selected Brand will appear in the report.
Date Type
You can choice to filter the Quotes by the 'Date Entered' or their 'Pickup Date'.
Date Range
Quotes will only appear in the report is their relevant date selected above falls within this date range.
Operator
Only Quotes made by or assigned to this User will appear in the report.
Leave as "Entered or Assigned" to run the report for All Operators
Include Cancelled Quotations
If this is ticked, cancelled Quotes will be included in the report.
Vehicle Category
Only Quotes against this Vehicle Category will be included in the report. 
Status
This provides a list of all Quote Status set up in your system. 
You can run the report to return Quotes of All Statuses or a specific Status.
Order
You can order the Quotes in this report by:
  1. Booking Total
  2. Category
  3. Date Entered
  4. Entered By
  5. Pickup Date
  6. Quote Number
Search
This feature allows you override all the other filters and search for a specific quote. You can do this by searching for its
  1. Quote Number or Reference number
  2. Customer Last Name
  3. Customer Email
  4. Company

Example





Quote
The Quotation or Reservation Number.
Clicking on this red number will open the quotes Booking Details page.
Assigned
If the quote has been assigned to a user, their name will appear here.
Status
The Quote Status, if one has been assigned to it.
Status Update
Clicking on this button will open the Quote Status Update window described below.
Add and View Notes
If there are no Notes against the booking, this button will say "Add", if there are, it will say "View".
Clicking on this button will open the Notes window where you can view all existing notes against the booking and add new ones.
Update Quote
Clicking on this button will open the Booking Form and allow you to update the quote. 
Email
If the quote has already been emailed to the customer this will say "Follow Up", if it has not yet been emailed it will say "Quote".
Clicking on this button, will open a window from with you can sent the quote email to the customer. 
Convert to Unallocated
Clicking on this button will convert the quote to an Unallocated Reservation.
If the Availability Engine is enabled in your system, this will run a check for whether or not there are vehicle available for this booking. 
This Unallocated Reservation will have the same Reservation number as the quote, but it will start with a U instead of a Q.
Once the quote has been converted, it will disappear from the report. 
Release Quote
Clicking on this button will open the Vehicle Allocation page in a new window. This page allows you to simultaneously convert the quote to a booking and select a vehicle to allocate the booking to. 
This new Allocated Reservation will be given a new Reservation number, and it will disappear from the report. 
Category
The Vehicle Category this quote was made against.
Pickup
The Pickup Location of the quote.
Pickup Date
The Pickup Date and Time of the quote.
Drop off
The Dropoff Location of the quote
Dropoff Date
The Dropoff Date and Time of the quote.
Booking Total
The total cost of the quote.
Source
The Booking Source for the quote.
Campaign
The Campaign Code assigned to the quote, if applicable. 
Enquiry Date
The date and time the quote was created.
Last Updated
If the quote has been updated since its creation, this will display the date and time it was most recently updated. 
Log
The notes from the first entry in the quotes Res Log. 
This can be the Customer ID number and the daily cost of any selected insurance option, or it could be "No CC entered, saved as quote" if it was made online without a credit card being successfully added. 
Emailed
Whether or not the quote has been emailed.
Name
The name of the customer and the name of their company, if applicable.
Email
The email address of the customer. 
Change Customer
Clicking on this button opens the Change Customer window, and allows you to switch the booking to a new customer. 
Note
Any notes that have been added to the quote.

Status Update

The Update Status button will open the window shown below. This allows you to:
  1. Assign an Operator to the quote.
  2. Update its Quote Status from a dropdown of status setup in your system.
  3. Cancel the Quote by setting it to "Quote - Cancelled", or mark it as either a "Reservation" or "On Request" quotation.
  4. Select a Reason Not Converted, which are setup in your system. 
  5. Add a not to the Quote by entering a Priority, Subject and Note.
