Q: When a vehicle is out on hire, we sometimes need to do a vehicle exchange for whatever reason. What is the best way to record the time, date, kms, location, etc. of the vehicle exchange?
A: For vehicle changes, you should use the Change Vehicle feature, which allows you to change the assigned vehicle for the contract as well as record the time, date, kms, location, etc. of the vehicle exchange. It also allows you to track traffic infringements as it keeps a history or log of all changes made to the reservation record, with the operator making the change shown on the Last Updated details. You can add a Note to record additional details at the time of change.
To use the Change Vehicle feature, follow the procedure below.
- Go to Reservations, then click Change Vehicles.
- Enter the reservation number.
- Enter any relevant information about the vehicle exchange on the reservation record.
