Hourly Rate

Purpose

Aside from the daily rates that are normally charged against bookings, you can also define hourly rates for your vehicles.
This is particularly useful for short-term rentals that do not last more than a day.
To be able to add a hourly rate, you must have previously defined a hourly rate structure for your vehicle rentals. For more details, see the Hourly Rate Structure article.

Accessing the Hourly Rate tab

The Hourly Rate tab can be found when clicking on the "Rates" icon under the System Setup menu.

Filters 

When maintaining  your Hourly Rates, you need to select a location and year in the two drop down options as seen below.

Note that the "Default Rate" year is used when a location has no Hourly Rate records set up in the current year.
You have the option to set up a Hourly Rate for the default rate - every year being the same, or,  set a Hourly Rate for the year you are in and continue doing that annually.

 Click "View" to display your selections.


In this example,  only the May 2021 season has hourly rates setup.




Add an Hourly Rate

To make a record, click "Add a hourly rate". This will display the New Rate screen.

Once completed, click submit to save the record.
On the hourly rate page, you will see the record added to the list of hourly rates for the location. 



Hourly Rate Field Descriptions

Field 
Descriptions 
Add to Location
Select the location to which the hourly rate will be added. All locations can also be selected.
Add to Season
Select the season to which the hourly rate will apply.
Add to Category
Select a vehicle category to which the hourly rate will apply.
Hour Hire 
Enter the amount that the customer will be charged for the number of hours. 

Copy a Hourly Rate to another or All Locations

You have the option to copy Hourly Rates across to another or all of  your locations.

In the hourly rates table,click on the Copy icon next to the season you wish to copy.






On the copy rates page, select the location (or all locations) and categories you want to copy to along with the season. 
If necessary, you can select a different season and category to which the rate will be copied. 





In the rates table, the copied record will now be shown among the records for the selected location(s).


Update and Delete an Hourly Rate

To Delete an hourly rate record, click on the Bin icon in the table, then click Yes on the confirmation message to delete the record.
