Purpose
Rental Car Manager (RCM) allows for the addition of a fee to a booking which is classed as a cancellation fee. When a booking is cancelled, this cancellation fee will be the only charge applied to the booking.
As there is more than one way to cancel a booking, there is also more than one way to apply the cancellation fee. They are described in the following two sections.
You are able to cancel a booking by changing the status of the booking to "Cancelled". This can be done on the Booking Details tab of the Booking Form. Once you have changed the status to cancelled, you will be required to choose a "Reason for Cancellation". You can see both of these fields in the image below.
If you wish to add a cancellation fee to the booking, you can do this from the Booking Fees tab, simply select the relevant cancellation fee, see the image below. For more information about how to setup a cancellation fee read the following article
How to Configure an Extra Fee for Cancelled Bookings.
If you then go to the Booking Payments tab, you can see that the cancellation fee is the only fee that is included in the cost of the cancelled booking.
Adding a Cancellation Fee while Cancelling on Reservation Enquiry and Update Screen
You are also able to cancel a booking from the Reservation Enquiry and Update screen. All you need to do is click on the red X in the Cancel column for the relevant booking, see the image below.
If you are cancelling an allocated booking you will see the pop-up window shown below. From this window you can choose both the Cancellation reason and the Cancellation Fee to apply to the booking. If you are cancelling an unallocated booking, you will only see an option to choose the cancellation reason.
